Are you missing business because you’re missing calls?

Operating a small business can be stressful and sometimes you just can’t get to those incoming calls. The problem is that if you don’t answer, statistically more than 60% of people will simply hang up rather than leave a voicemail and even fewer will try calling back.

So how do you stop those callers going to your competitors?

What are the options?

  1. You can employ a receptionist to answer all of your incoming calls and forward any messages to you. This can be a costly exercise once you factor in wages, superannuation, insurances, office space, equipment etc. You don’t always know when your calls are coming in, which means that your staff member can be sitting around half of the time being under-used.
  2. You can use a Virtual Reception service from Organised Empires and only pay for the time taken on the call. Whenever you can’t take a call, there is a real-life human being, based in Western Australia, there to take care of your customers for you. Perfect if you are a tradie ‘on the tools’, a massage therapist working hands-on with your clients, on holiday, or just need a break from the stresses of running your business.

How does it work?

When you sign up for your virtual reception service we allocate you a local telephone number. You then divert your incoming calls to this number (or you can give out this number directly to your customers).

When a call is received to your allocated number our professional Australian staff will answer that call using a greeting that has previously been agreed with you.

They can then either:

  • send a message to you via SMS or email;
  • provide information to the caller, based on information you give us;
  • action the call on your behalf; For example
  • book in or change appointments;
  • send out information;
  • provide basic quotes;

The can also MAKE calls on your behalf, such as:

  • following up leads;
  • chasing unpaid invoices;
  • reminding customers of appointments;
  • checking customer satisfaction and requesting Google Reviews;

All of our receptionists are Australian based. While it would be cheaper to outsource our call answering to overseas operators, we are committed to providing the best possible level of service, using local staff only.

You can divert all of your calls or you can simply send us the overflow. You can even use us to take calls while you’re away on holiday. It’s all up to you.

Using a virtual answering service like ours means that you never need to worry about missing another call. We focus on answering the phones while you focus on building your business or getting the job done.

Using a service like ours means that you can literally work from anywhere in the world. You could be down at the beach or enjoying a day out with family. Our professional receptionists will make sure that we look after both you and your customers, no matter where you are.

Do I need to sign a contract?

Yes, however we don’t believe in locking our customers into long term contracts and set our minimum at 30 days. If you decide to cancel, then you simply need to provide us with 14 days written notice.

How much does it cost?

It depends on how much you use the service, but our prices start from as low as $60 per month.

A one-off Set Up Fee covers the system set up, preparation and training involved in making sure phone operators can answer according to your requirements.

The monthly Line Rental Fee covers the cost of your dedicated phone line and voicemail.

Our Usage Fees can be charged either ‘per call’ or time-based usage fees. Either way, you are only paying these fees for the time we spend working on your business.
